By using this site, you acknowledge that ADRA owns all intellectual property rights in and to the site and its contents and that these rights are valid and protected in all forms. PRIVACY POLICY – ADRA Europe
ADRA Europe is a non-profit association recognised and approved by the Belgium Government. Due to the nature of our humanitarian activities, we collect and process certain personal data.
We attach great importance to the protection of your data. It is processed in accordance with the GDPR (EU Regulation 2016/679) and the Belgian law of 30 July 2018 on the protection of individuals with regard to the processing of personal data.
This statement provides clear and transparent information on the data we collect, the purposes pursued, the applicable legal bases, and your rights.

Processing of Technical Data

Every time you visit our website, certain technical data is automatically collected to ensure its proper functioning. This data is temporarily stored in log files:
● Date and time of the request
● IP address
● Page visited
● Browser type and version
● Operating system and language
● Referring page (referrer)

This data does not allow direct identification and is not cross-checked with other data sources.

Legal Basis and Purpose
The legal basis for processing and temporary storage of this data in logs is Article 6(1)(f) of the GDPR: our legitimate interest in ensuring website security, optimising performance, and preventing misuse.

Retention Period
Technical data (e.g. IP address, time of connection) is kept for a maximum of 7 days unless an extension is required as part of an investigation into a security incident or unauthorised access.
Data is then deleted or anonymised for statistical purposes.


Transmission of Personal Data to Third Parties

Personal data collected and recorded during website use is only transmitted to third parties in the following cases:
● In case of a legal or regulatory obligation (Art. 6(1)(c) GDPR)
● Upon judicial request
● When necessary to establish, exercise or defend legal claims
● In the event of security incidents requiring notification to the Data Protection Authority (DPA) or other competent authorities


Cookies

When using our website, “cookies” are stored on your device. These are small text files that store certain configurations and data to interact with our system via your browser. A cookie contains the domain name from which the cookie data was sent, information on its lifetime, and an alphanumeric identifier (“Cookie ID”).
Cookies help us improve our website and offer you optimised services. Our website uses cookies in compliance with Belgian legislation, notably Article 129 of the Act of 13 June 2005 on electronic communications. Cookies strictly necessary for the site’s operation may be used without consent. Other cookies, such as analytics or advertising, are only activated after your consent via our cookie banner.


Newsletter

If you wish to receive the newsletter offered on our site, we require a valid email address and information verifying that you are the owner of the email address or that the owner agrees to receive the newsletter.
The following informs you of the content of our newsletter, the subscription, sending and statistical evaluation process, and your rights of objection. By subscribing, you agree to receive these communications and the processes described.

Newsletter Content
We send newsletters, emails and other electronic notifications containing promotional information (“newsletter”) only with the recipients’ consent or under legal authorisation. If newsletter content is specifically described during registration, that defines users’ consent. Our newsletters include information on our projects, events, and editorial articles related to ADRA Europe’s work (including blog posts, conferences, workshops, services, or online presence).

Double Opt-In and Registration
Subscription to our newsletter follows a double opt-in process. This means that after registration, you will receive an email asking you to confirm your subscription. This confirmation ensures no one can subscribe using someone else’s email address.
Subscriptions are recorded for legal purposes, including storing the date/time of registration and confirmation, as well as the IP address.

Legal Basis
In accordance with the GDPR, we inform you that the legal basis for sending newsletters and processing email addresses is Art. 6(1)(a) and Art. 7 GDPR.

External Providers
Newsletters are sent via MailChimp (The Rocket Science Group LLC, USA), under the EU–U.S. Data Privacy Framework. A Data Processing Agreement was signed in line with Art. 28 GDPR.
The use of MailChimp, statistical analysis, and tracking of the subscription process are based on our legitimate interests under Art. 6(1)(f) GDPR. Our interest is in using a user-friendly, secure newsletter system that meets both our business needs and user expectations.
You may object to future processing of your personal data at any time, in accordance with Art. 21 GDPR.
This includes processing for direct marketing purposes.


Google Analytics

Our website uses Google Analytics, a web analytics service provided by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Google Analytics uses cookies to analyse site use. Data generated by cookies may be transferred and processed on servers in the USA, under the EU–U.S. Data Privacy Framework.
To comply with European legislation, IP anonymisation is used, meaning your IP address is truncated before being transmitted to Google. The legal basis for processing is your explicit consent (Art. 6(1)(a) GDPR), given via our cookie banner.
Google will use this information to evaluate site usage, compile reports on website activity and provide other related services. The IP address transmitted by your browser will not be merged with other Google data.

You can disable Google Analytics via:
● your browser,
● Google’s opt-out add-on,
● or ad preference management tools (e.g. YourOnlineChoices).


Google Tag Manager

This site also uses Google Tag Manager to manage marketing tags through a unified interface. No personal data is directly collected by this tool. Any data processed originates from tags activated via this interface.


Social Media

Share buttons (Facebook, Instagram, YouTube, etc.) may appear on our site. No data is transmitted to these platforms unless you interact with them.
Once activated, these services collect your data under their own privacy policies. These operations are based on Art. 6(1)(a) (consent) or (f) (legitimate interest) GDPR.
For our Facebook page, we are joint controllers with Meta Platforms Ireland Ltd. for data processing via the “Facebook Insights” function.

Donation Form

Donations via our site can be made:
● by bank card or SEPA via Stripe Payments Europe Ltd. (Ireland). A Data Processing Agreement has been signed with Stripe in accordance with Art. 28 GDPR;
● or via a traditional bank transfer to ADRA Europe’s Bank account, as indicated on our site. This payment method does not involve any external data processing provider.

Legal Basis for Processing:
● Art. 6(1)(b) GDPR: performance of a contract (processing the donation);
● Art. 6(1)(c) GDPR: legal obligation (accounting and tax recordkeeping);
● Art. 6(1)(f) GDPR: legitimate interest in ensuring transaction security and proper management.

(Important information: If you want to deduct your donation from taxes, please donate through the ADRA office in your country of residence. If you live in Belgium, this is ADRA Belgium.)


Targeted Advertising / Lookalike Audiences via Meta

With your explicit consent, ADRA Europe may use your email address to create custom or lookalike audiences on Meta platforms (Facebook/Instagram), to better target awareness and donation campaigns.
This data is securely transmitted to Meta Platforms Ireland Ltd. solely for this purpose, in line with GDPR conditions.
You may withdraw your consent at any time by contacting us at [email protected].


Donor Data

When you provide us with your personal data (name, postal address, email address, etc.), it is processed by ADRA Europe for the following purposes:
● managing donations;
● communications about our work (with your consent).

Data is retained for 7 years in accordance with Belgian tax obligations (Income Tax Code, Articles 315 ff., and accounting obligations under the Companies and Associations Code – CAC).

Legal Bases
● Art. 6(1)(b) GDPR: contract performance (donation management);
● Art. 6(1)(c) GDPR: legal obligation (issuance of tax certificates under Article 145/33 CIR 92 and recordkeeping under CAC and CIR, Articles 315 ff.);
● Art. 6(1)(a) GDPR: consent for sending updates and donation appeals;
● Art. 6(1)(f) GDPR: ADRA Europe’s legitimate interest in maintaining donor relations, respecting their rights and preferences.

Retention Period
Donor data is retained for 7 years from the date of donation, in accordance with Belgian legal and accounting obligations.


Job Applicant Data

When applying for a job or assignment with ADRA Europe, your personal data (e.g. identity, contact details, CV, cover letter, interview notes, etc.) is processed for the following purposes:
● reviewing your application;
● contacting you;
● possibly preparing an employment or collaboration contract.

Legal Bases
● Art. 6(1)(b) GDPR: pre-contractual measures;
● Art. 6(1)(a) GDPR: explicit consent, especially for retaining data beyond the recruitment process;
● Art. 6(1)(f) GDPR: ADRA Europe’s legitimate interest in legal defence;
● Art. 88 GDPR and Title 4 of the Belgian Law of 30 July 2018: legal framework for processing in employment contexts.

Retention Period
● By default, data of unsuccessful applicants is kept for 6 months after the end of recruitment.
● It may be kept longer:
o if you have explicitly consented;
o or if needed as legal or administrative proof.


Rights of Data Subjects

In accordance with the GDPR and Belgian law of 30 July 2018, you have the following rights:

Access to Personal Data
You have the right to obtain confirmation as to whether or not ADRA Europe is processing personal data concerning you. If so, you can access it and learn the purposes, categories, recipients, and retention periods. You may also request a free copy.

Rectification or Erasure of Personal Data
You may request correction of inaccurate or incomplete data.
You may also request erasure where data is no longer necessary, consent is withdrawn, or processing is unlawful.

Objection to Processing
Unless processing is required by legal or contractual obligation, you may object at any time, on serious and legitimate grounds, to the processing of your data.

Data Portability
You may receive your personal data in a structured, commonly used, machine-readable format and transmit it to another controller. Where technically possible, you may request direct transmission.

Right to Withdraw Consent
Where processing is based on your consent (e.g. newsletters or campaign participation), you may withdraw consent at any time. This does not affect prior processing.

Exercising Your Rights
Any request regarding your rights should be sent to: [email protected]. Please include a copy of your ID to process your request.
We commit to respond within one month. This may be extended by two months for complex or multiple requests.

Supervisory Authority
If you believe your rights are not respected, you may lodge a complaint with the Data Protection Authority:
